GLORIA DEI LUTHERAN CHURCH COUNCIL MEETING MINUTES July 27, 2008
PRESENT: Craig Bluemlein, Denise Bosma, Rebecca Brode, Shelley Dick, Doug Ebert, Pastor Vicki Garber, Walda Helvie, Amy Honnerlaw, Steve Kieffner, Todd Kuhse, Don Shattuck and Kelli Sittason. ABSENT: Jennifer Hegna and Hansel Ramathal.
Todd called the meeting to order and led the opening prayer.
I. ADOPTION OF AGENDA Todd presented the agenda. Steve moved, and Denise seconded, to accept the agenda, and the motion carried.
II. APPROVAL OF PREVIOUS MINUTES Todd presented the minutes from the June 22nd meeting. Steve moved, and Pastor Vicki seconded, to accept the minutes, and the motion carried.
III. SPIRITUAL SHARING
IV. RENOVATION & FINANCING UPDATES The congregation used the Outdoor Worship area today for the first time. It is a lovely space. We have a few kinks to work out such as more shade for the Praise Band.
The demolition of the narthex is going well. Roof trusses are up over the new office space. The Interiors Team has made color and material selections and these were presented to Council.
The issue was raised if we should consider replacing the flooring in the Fellowship Hall, youth room and preschool hallways, especially if doing so during the renovation would provide a cost savings. Craig volunteered to price some options and report to the Property Committee.
Don inquired whether we will face any facility use issues due to delays in construction. Todd reported that the bathrooms should be completed in about two weeks, provided that the selections are in-stock. Therefore the preschool should be able to open on time.
Pastor reported that there is a small wedding scheduled for November that will be affected by the construction. She has kept the couple informed throughout, and they have no plans to change locations.
V. PRESCHOOL TASK FORCE UPDATE The task force is finishing its work and preparing its final report. There are still some outstanding issues surrounding the payment of benefits, definitions of full and part time, etc. Doug has discussed benefits with the ELCA. The HR discipleship will advise Doug on state/federal laws relating to benefits. Doug stressed that the church needs defined policy in place on all these issues for our employees.
Steve gave a review on the preschool budget. The school is in good standing. Kathy Manning has agreed to stay on this year as bookkeeper. New software is being purchased. Council discussed whether or not to share the preschool budget with the congregation but no decision was reached.
VI. DISCIPLESHIP TEAM UPDATE Steve reminded Council that the budget process will be starting soon. Each discipleship will be asked to submit budget requests for the coming year. To help the chairs, last year’s budget was recently sent out for review.
Steve also reported that a representative from HR will be invited to the next Finance Committee meeting to discuss long range plans for the positions of bookkeeper and Treasurer.
VII. EXECUTIVE SESSION
VIII. OLD BUSINESS Pastor Vicki reported that the Mission Team will be meeting again in August and that things are going well.
Craig will obtain quotes for the new bench (as previously discussed) for the Outdoor Worship area.
Doug reported that HR will be asking for a small budget amount to send a representative to seminars to stay abreast of legal requirements related to human resource activities.
IX. ADJOURNMENT Todd led the closing prayer and adjourned the meeting.
Upcoming: Council Prayer Session – August 4 @ 7am Committee Night – Sept. 8 @ 6pm (Prayer Session @ 5:30pm) Next Council Meeting - Sept 21, lunch by Hansel.
Respectfully submitted, Amy Honnerlaw, Secretary
